Objective of the Role

To professionally represent Semafone when answering the door to those visiting and calling into the Company.  To provide general administration support to the Office Manager and Head Office Team and ensure the smooth running and availability of office facilities.  Reporting to the CFO, but working closely with other Head Office Team members, as well as external suppliers of facilities services.  Able and willing to have a go at any task and tackle the task with enthusiasm.

Key Accountabilities and Responsibilities

Provide Lunch Cover for Reception

  • Meeting and greeting customers, partners and other visitors to the office and the provision of refreshments
  • Issuing Visitor’s passes
  • Keeping the kitchens stocked with supplies

Facilities Responsibilities

  • Incoming post distribution and outgoing postal and courier services
  • Managing the meeting rooms and ensuring they are kept tidy throughout the day
  • Ordering and setting up any lunches required for all day meetings

Administration Responsibilities

  • To provide support to the Office Manager and assist with general administration to ensure the smooth running of the office
  • Assisting with events planning: Christmas party, Quarterly Review meetings and other office social activities
  • Maintain general filing system
  • Binding legal documents where required

Key Competencies

  • Good working knowledge of MS Office, Outlook & the Internet
  • Excellent spoken and written English
  • Good clear telephone manner
  • Attention to detail
  • Ability to work under pressure and multi-task
  • Ability to work in a team and individually
  • Excellent customer-facing communication skills
  • Good organisational skills
  • Previous experience in customer facing roles desirable but not essential
